PRIMARY PURPOSE: The Executive Administrator reports directly to the General Manager and plays a pivotal role in the smooth operation of our branch through corporate event planning, hospitality, team building, scheduling, and many other special projects. This individual should be energetic, professional, and poised, performing a broad range of administrative duties to support efficient operations across departments, particularly in managing administrative expenses and fostering a positive work environment. Performs advanced, diversified, and confidential duties that may be administrative in nature or project based. Work requires broad and comprehensive skills and a thorough knowledge of organizational policies and practices.

Estimated starting salary range is $71,000 - $75,000/yr.

The full salary range for this position is $68,673 - $103,009/yr.

The overall salary range for this role provides for growth beyond this initial starting salary range. Base pay offered will vary depending on job-related knowledge, skills, experience, and geographic location. Estimated starting salary range is based upon market competitiveness and internal equity. CORE DUTIES:

1. Delivers high-grade administrative support to the General Manager, including coordinating special projects and managing the General Manager's Outlook calendar. Ensures priority meetings are scheduled and attended, and adjusts schedule in response to changing priorities and urgencies.

2. Organizes hospitality events, manages company-wide schedules, and coordinates travel and logistics for guests. Acts as liaison with other departments and parties outside of Promega to coordinate meetings, scheduling, and other issues.

3. Coordinates all event planning and logistics for several company events, including the summer picnic, holiday party, corporate team building activities, employee milestones, and employee training/development sessions.

4. Directly manages and oversees front office responsibilities.

5. Supervises the Administrative Assistant, ensuring optimal performance, providing guidance, assigning tasks, and facilitating professional development opportunities.

6. Manages corporate credit card transactions for administrative expenses, ensuring proper documentation and cost coding. Reviews and approves departmental invoices.

7. Facilitates the recruitment process by scheduling and managing interview schedules and coordinating travel and meal logistics.

8. Demonstrates inclusion through their own words and actions and is accountable for a safe workspace. Acts with kindness, curiosity and respect for others.

10. Understands and complies with ethical, legal and regulatory requirements applicable to our business.

KEY QUALIFICATIONS:

1. Bachelor's Degree and minimum of 3 years experience in an administration field, or equivalent experience to successfully perform the tasks described above.

2. Ability to supervise administrative staff, and skillset to provide guidance, performance feedback, and mentorship.

3. Proven capability of supporting an executive in a dynamic work setting.

4. Outstanding communication skills, both oral and written.

5. Proficiency in Microsoft Office, particularly Excel and Outlook.

6. Strong organizational abilities with attention to detail.

7. Collaborative, friendly demeanor with a proactive, solutions-focused mindset.

8. Commitment to confidentiality.

9. Ability to manage frequent disruptions and return to tasks efficiently.

10. Proven capability to work autonomously or in a team, demonstrating professionalism.

PREFERRED QUALIFICATIONS:

1. Experience working with Microsoft SharePoint and SAP.

2. Prior experience in event planning or corporate hospitality.

3. Basic knowledge of finance and accounting procedures.

4. Previous experience supervising or managing administrative staff, with a proven ability to provide guidance, performance feedback, and mentorship.

PHYSICAL DEMANDS:

1. Frequent use of computer equipment and standard office devices.

2. Regular verbal communication with clients over the phone.

3. Ability to move objects weighing up to 30 pounds.

4. Navigating the facility, including staircases.
